How do I get Gem Scheduling to ignore certain conflicts?

If you coordinate interviews regularly, you are probably well aware of which events you can always book over.

To help Gem Scheduling ignore these events and rank your schedules in a more useful way, you can specify a list of 'ignore' keywords for calendar events. You can add 'ignore' keywords at the company-wide level, and also add more finetuned keywords for specific interviewers.

Adding company-wide conflict keywords

Navigate to the Company page (nested under Account in the menu). Click the Edit button in the Conflict keywords section.

Here, you can enter words or phrases that you would like Gem Scheduling to ignore when generating schedules! Capitalization doesn't matter for these keywords (so if you tell us to ignore dnb, we'll also ignore DnB, DNB, etc.)!

You can also enter some 'override' words or phrases that you would still like Gem Scheduling to count as conflicts, even if the conflict title also contains 'ignore' keywords. Here are some examples of how to use these 'override' keywords.

• You may want us to ignore DNB (Do Not Book) blocks on people's calendars. However, if someone has an event called DNB (Doctor's appointment), you might want the "Doctor's appointment" phrase to override that and always be counted as a conflict.
• You may usually book over 1:1s. However, perhaps you don't want to book over your team's 1:1s with the CEO, in which case you could put <> Laurie and Laurie <>(or whatever your CEO's name is!) in the 'override' phrases to make sure that those conflicts still get counted.

Adding interviewer-specific conflict keywords

Some people on your team may have unique ways of managing their calendars. You may be able to book over events for some people, while others are pickier with what you can book over. For these cases, you can set up interviewer-specific keywords. To do this, navigate to the Interviewer page for a specific interviewer. Click the Edit button in the Conflict keywords section.

You might even choose to give interviewers control over their own conflict keywords by allowing them to log in and edit these phrases for themselves.

How we use conflict keywords

When generating schedules, we will ignore conflicts with any calendar event that has an 'ignore' keyword in the title. (Unless it also contains one of the 'override' keywords.) We will check against both the company-wide conflict keywords and the conflict keywords of the selected interviewers.

We will show you which conflicts were ignored at the top of the page. You can expand to see all conflicts.

You can also see ignored conflicts when clicking into the list of interviewers to see each person's conflicts.
