This article covers the process of creating and modifying Gem AI Sourcing searches to find prospects. For an overview of Gem AI Sourcing, see Gem AI Sourcing: Getting Started.
Start a new search
To use AI Sourcing, start by creating a new search. You can do this from the AI Sourcing page in Gem by clicking the ‘New Search’ button.
Link a job
You’ll be asked what Job you are sourcing for. Gem will provide a list of jobs from your connected ATS. Supported ATS are Gem ATS, Greenhouse, Lever, SuccessFactors, SmartRecruiters, Workday, and iCIMS.
Once selected, click Next. If you are sourcing for a job that has not been created, or if you just want to test things out, you can also choose the option “I'm sourcing for a job that hasn't been created yet”.
Select a default project
You will be prompted to select a default Gem Project for your search. Any profiles that you rate “Yes” on will automatically be moved to that Project. This step is not required.
You will be able to select from personal Projects, or shared team Projects. For more information on Gem projects, see Projects Overview. Once selected, click “Next”, or “Skip”.
Define the talent pool
Using structured filters, define the broad criteria all eligible prospects must have to be eligible for your AI Sourcing search. Any profiles that do not meet this criteria will be excluded from your search.
While none of the filters are explicitly required, relevant filters are strongly encouraged to help you find the best matches faster. You can define your talent pool based on these criteria:
- Job title: This allows you to find profiles with specific words or phrases in a job title. You may choose to combine different titles with OR, which means any option is accepted, or AND, which means a prospect must match all words or phrases must be in a title. You can also choose whether to look at all titles in a prospect’s work history, or only the most recent.
- Location: This allows you to find profiles who are located in certain physical locations, such as near a relevant office for a job. You may choose to filter profiles based on County, State or Province, Metro Area, and City. For “Remote” roles, we recommend selecting the Country where you’d like talent to be based. Any option that is left blank will not be used; if multiple options are selected then only profiles that match all options will be included in the talent pool.
- Experience and tenure: This allows you to find profiles with certain levels of experience at their current company, or overall in their career. You can specify a range of months at their current company, and a range of years overall. Any option left blank will not be used; any criteria specified must be satisfied to include a profile in your talent pool.
- Companies: This allows you to find profiles with company names in their work history. You may choose to combine different companies with OR, which means any option is accepted, or AND, which means a prospect must match all Companies. You can also choose whether to look at all companies in a prospect’s work history, or only the most recent.
- Education: This allows you to find profiles with specific words or phrases in their education history. You may add criteria for School, Degree, and Field of Study. Any school names entered will be combined with OR, meaning any match will be accepted. For Degree and Field of Study, you may choose whether criteria are combined with OR, meaning any match will be accepted, or AND, meaning all criteria must match for a prospect to be accepted.
Keep in mind, filters will look for exact matches of the input. To ensure all relevant values (titles, company names, degrees, etc.) are included in your search, try using broader keywords in your filter.
For example, to find all "Software Engineers" that may have multiple titles (Software Developer, Senior Software Engineer, etc.), consider searching for:
- contains "Software"
- contains "Software Engineer"
Once your filters are applied, you will be shown the approximate size of your defined talent pool. Then, click “Next” to advance.
Add qualifications to score the prospects
The next step is to tell Gem AI how to score the prospects in your talent pool. To do so, provide a list of qualifications for each profile to be scored against. These should be entered one per line in the box provided.
Scoring qualifications are similar to criteria you would post in a job description. For best results, we recommend using criteria that can be determined from a job profile or resume, such as experience with a specific technology, process, or application. You should avoid criteria that contradict the filters from your talent pool. For more suggestions and best practices, see Gem AI Sourcing: Best Practices.
Unlike talent pool filters, the qualifications used for scoring are not exclusionary. Profiles that do not meet the qualifications provided will still be included lower in the results list, with a lower overall fit score.
Gem AI will provide a ranking of ‘High’, ‘Medium’, or ‘Low’ for each qualification provided. Each criteria is equally weighted in the scoring.
When your criteria have been set, click ‘Done’ to save the criteria, and “Next”.
Summary
The Summary screen allows you to name your search, and shows the filters and qualifications you provided in the previous steps. You can edit or delete the criteria on this screen; if you would like to make further changes, you can use the “Back” button to do so.
If you are happy with the parameters you’ve entered, click “Activate Search”. This will use one of your Gem Bots to start the search process. Gem AI will begin analyzing available profiles from your defined talent pool, and results will become available as they are processed. It can take up to a day for the first results to be available. Editing your search
If you need to make changes to your search, you can do so from the AI Sourcing page. Locate your search by the name you selected, then click “View Search Details”. Your filters and criteria will be displayed, similarly to the original search set up. You will have the option to add, edit, or remove criteria. When complete, click ‘Apply changes’ to re-start the search.
