There are three ways to add a prospective candidate to Gem from a social site or sourcing platform:
- Click “Add candidate” in the Gem Extension while on that person’s profile
- Save their profile as a PDF
- Drag-and-drop PDF resumes directly into the Extension
Note: All of these methods require the Gem Extension, so be sure to add it to your Google Chrome browser first.
Clicking “Add candidate” in the Gem Extension
When you add a candidate to Gem by clicking the “Add candidate” button from their profile, Gem creates a new profile in your CRM and automatically populates relevant details about the candidate in the extension/sidebar using publicly available information.
Additionally, Gem generates a PDF resume for the candidate, which is available to download from the “Resumes” section of the extension. If you upload the candidate to your Gem ATS, the PDF resume will be included.
Note: On occasion, clicking “Add candidate” may not capture all the details from a candidate’s profile through our data providers. If this happens, you can save the candidate’s profile as a PDF (see below) and upload it to Gem. This will update any fields previously populated by our data providers with the information from the PDF, while preserving any manually entered details.
Saving the candidate’s profile as a PDF
Gem is unable to leverage data providers on candidates that do not have publicly available information. In these cases, the “Add candidate” button will show as “Download PDF” instead. You’ll need to save the candidate’s profile as a PDF from the sourcing site in order to add them to Gem.
To save a profile as a PDF from LinkedIn, you can also click the “More” button beneath the candidate’s name, then select “Save to PDF.” (On other supported websites, the button will say “Create new prospect profile in Gem” and/or “Add Prospect”.) Gem will create a new profile for the candidate and automatically extract their details from the downloaded file to populate the Gem extension/sidebar. (Please note that some platforms may limit the number of profiles you can save each month.)
Drag-and-drop PDF resumes into the Gem Extension or website
You can create a Gem profile (prospect or candidate) by simply dragging-and-dropping a PDF resume—one you’ve received directly from a candidate, for example—into Gem through either the extension or the website. By default, the new profile will be added to “My Scratchpad.” To organize the candidate further, you’ll need to manually add their profile to a Project, Sequence, or Job.
When you upload a resume, Gem will:
- Extract key information from the candidate’s resume
- Identify and prevent duplicate profiles
Note that there are some limitations on drag-and-drop resumes:
- This feature only supports PDFs
- Each file must be under 5MB
- Parsing a resume takes about 15 seconds, and files are processed one at a time
- Uploading PDFs into a Project or Sequence will not automatically add candidates to that Project or Sequence—they will be placed in “My Scratchpad”
