Overview
With this Gem feature, you can send self-scheduling links that sync with your Google or Outlook calendar, streamlining candidate scheduling for phone screens and one-on-one calls—no extra integrations needed.
Eligibility
The self-scheduling functionality is available to all teams on the All-in-One platform. For teams using Outlook, Self-Scheduling in Gem also requires the following permission to function (in addition to the permissions detailed in our article Configuring Consent for Gem in Microsoft Office 365):
This enables us to access users’ calendars to view events and add new scheduled appointments.
Setting up Self-Scheduling
To enable Self-Scheduling for the first time, navigate to Settings → Scheduling.
From there, click “Sign in with Google” or “Sign in with Outlook” to grant additional calendar write access so that meetings can be scheduled on your calendar.
Once your calendar is connected, you can define your availability, specifying which days and hours you’re open for scheduling.
This page also allows you to configure meeting types, which include:
- Title (visible on the calendar event)
- Description (visible on the calendar event)
- Duration (visible on the calendar event)
- Scheduling window
- Minimum buffer time
- Video conferencing (Zoom, Google Meet, or Teams)
- The custom part of the URL slug (the URL will consist of your team name + user email + custom URL)
- Requested candidate fields (these fields create and/or update a Gem prospect or candidate profile when a meeting is scheduled)
Including Self-Scheduling links in Gem Sequences
To insert Self-Scheduling links in sequences, use the calendar icon in the editor (it’s to the right of the hyperlink icon). If you haven’t set up any meetings yet, an onboarding modal will direct you to your Settings > Scheduling page.
Troubleshooting
Gem requires a connection with your calendar for this feature. If either is disconnected, you might encounter issues with loading or booking on the scheduling page. You can reconnect Gem with your calendar by visiting this link and signing back in.
