Overview
Dashboards provide a customizable, easy-to-access space for organizing and visualizing key Pipeline Analytics metrics in one place. With multiple widgets displayed side by side, you can quickly track trends, monitor performance, and gain insights into your hiring pipeline.
Where does this data come from?
Dashboard data is sourced directly from your Gem ATS through Pipeline Analytics and from Gem’s sourcing tool, ensuring real-time, accurate reporting on both your hiring funnel and your sourcing efforts.
Common use cases for Dashboards
Dashboards can be used in a variety of ways, including:
- Executive summaries: High-level overviews of hiring progress and key metrics
- Performance management: Track recruiter activity, conversion rates, and pipeline efficiency
- Diversity tracking: Measure representation and passthrough rates across different hiring stages
- Hiring manager syncs: Provide real-time data for hiring team discussions and decision-making
With Dashboards, you can build a data-driven hiring strategy, ensuring the right stakeholders have the real-time insights they need to make informed decisions.
How to create a Dashboard
1. Navigate to the Dashboards page and click “+ New dashboard” in the top-right corner.
2. A pop-up box will appear, allowing you to create a new dashboard from scratch or choose a pre-built template with commonly used widgets tailored to a specific dashboard purpose or audience. Available templates include:
- Executive overview, to share a high-level overview of the current state of recruiting
- Interview health, to optimize your interview process and interviewer workload
- Recruiting health, to stay on top of your recruiting funnel and spot potential bottlenecks
- Recruiting team productivity, to optimize and manage recruiting team performance and output
- Outreach health, to track top-of-funnel sourcing activity and its impact on your candidate pipeline
- Sourcing team productivity, to manage sourcing team performance and output
Select one of the templates to start. Then click “Continue.”
3. The “Create Dashboard” pop-up will appear, prompting you to:
- Enter a name and description to define your dashboard’s purpose
- Choose an icon for easy identification
- Set a default date range (e.g., the current fiscal quarter if you’re building a quarterly review dashboard)
- Adjust editing and visibility permissions to control access
- Apply a data filter to ensure all widgets reflect relevant information (e.g., filtering by Sales to create a department-specific dashboard)
Once you’ve entered your settings, click “Create.” You can always update these settings later after the dashboard is set up.
Adding widgets to your Dashboard
Widgets are customizable reports displayed in separate, interactive windows within your Gem Dashboards. You can choose from pre-built widgets in the widget library, modify them to fit your needs, or create entirely new widgets from scratch using any metric available in Pipeline Analytics. Here’s how to add them to your Dashboard:
Step 1. If you're creating a dashboard from scratch, Gem will prompt you to add your first widget to begin building. Click “+ Add Widget” and follow the on-screen instructions.
To add a new widget to an existing dashboard, click the “+ Add Widget” button at the top of the dashboard page.
Step 2. Browse through the pop-up window to select the widget that best fits your needs (you can also build a custom widget from this screen).
Step 3: Before finalizing your widget, adjust any necessary details using the options on the left. Once you’re satisfied, click “Create” in the bottom-right corner.
The available customization options will vary depending on the widget you select but may include:
- Additional filters to refine your data
- Averaging options (toggle between average or median)
- Specific funnel stages to analyze
- Demographic segmentation for DEI insights
- Visualization styles (e.g., number, bar chart, or donut chart)
Are DEI-related metrics available?
Yes! DEI benchmarks can be visualized in bar charts, displaying candidate distribution at three key hiring stages: Application Created, Offer Extended, and Hired. These metrics can be broken down by race/ethnicity or gender, allowing for meaningful diversity insights.
The following six combinations are available in bar charts:
- Gender ratio at App Created
- Race/Ethnicity ratio at App Created
- Gender ratio at Offer Extended
- Race/Ethnicity ratio at Offer Extended
- Gender ratio at Hired
- Race/Ethnicity ratio at Hired
Enabling benchmarks in Dashboard widgets
Certain dashboard widgets let you add peer benchmarks, enabling you to measure KPIs against companies with similar profiles. These benchmarks are useful for setting team targets, evaluating performance over time, and providing leadership with comparative insights.

Configuring Targets on a Dashboard
Targets is a Dashboard feature that helps you set and monitor recruiting goals, giving your team clear visibility into their progress. By using targets, recruiters can track their pacing, identify areas for improvement, and adjust key levers to stay on course.

Examining underlying data from a Dashboard
While dashboards provide a quick view of key metrics, you may want to dig deeper into where each widget’s data is coming from. Here’s how to check the underlying data behind your widgets to better understand how numbers are calculated.
There are two ways to explore widget data:
- Click on the metric itself: This will show you the specific candidates included in that widget’s number
- View in Pipeline Analytics: Some widgets link directly to Pipeline Analytics for a more detailed breakdown. To access this, click the three-dot menu in the top-right corner of the widget and select “View in Pipeline Analytics” to see the full report behind the metric.
