In Prospect Search, users can apply a variety of filters to narrow down results for all candidates within their Gem CRM. Here are the attributes you can filter on from the left-hand column:
Work
- Job title: Search by current or previous titles
- Company: Search by current or previous companies
- Months at current company: Entered as a range (e.g., 24-48 months)
- Overall years of experience: Absolute amount of time spent at jobs, entered as a range
Education
- School: Search by most recent school or any attended institution
- Degree: Filter by highest degree earned (Bachelor’s, Master’s, PhD) or specific degree
- Graduation year: Year of graduation, entered as a range (e.g., 1990 - 2000)
- Field of study: Search by specific field of study or major
Location
- Filter by country, state or province, metro, and city
Contact history
- Last contact: Filter by time elapsed since last contact (e.g., in the past 3 months) or a custom time range. Includes Sequences, manually logged touch points, and emails sent outside of Gem.
- Sequence activity: Includes opens, no opens, clicks, replies, and reply status (interested, not interested, later)
- Sequences: Filter by the specific Outreach Sequence the prospect has been sent
- Sent by: Filter by who sent the outreach
- Sequence activity timeframe: Filter by time elapsed since Sequence went out (e.g., more than a month ago) or a custom time range
Gem ATS applications
- Department in Gem ATS: If the prospect has an application in Gem ATS, you can filter by Department to find them
- Job in Gem ATS: If the prospect has an application in Gem ATS, you can filter by Job to find them
- Sources: Filter by application source
- Rejection reason: Filter by the factor that kept a candidate from progressing in a previous hiring cycle
- Reached interview stage: Filter by how far a candidate advanced in a previous hiring cycle
- Last in process: Filter by time elapsed since the candidate was last in process (e.g., not in the last 12 months) or a custom time range
- Scorecards: Filter by % of positive scorecards the candidate received when they were last in process
- Scorecard answers: Filter by answers to single- and multi-select questions on previously submitted scorecards
Projects
- Projects the prospect belongs (or does not belong) to
Contact information
- Has email address: Filter by whether email address is available or missing
- Has phone number: Filter by whether phone number is available or missing
Profile
- Due dates: Filter by personal reminders you’ve set in Gem (no due date, has a due date, past due)
- Who added to Gem: Filter by which teammate added the candidate to Gem
- Refreshed: Filter on the date a profile was last refreshed automatically
- Likely to move: Shows prospects who have updated their public LinkedIn profiles without changing their roles
Prospect scorecards
- Overall recommendation: Filter the candidate’s overall rating, in a range from “Strong no” to “Strong yes”
Using the Resume Keywords filter
The Resume Keywords filter lets you refine and perform more complex searches using Boolean logic, by combining keywords with operators like “AND,” “NOT,” and “OR.” Here are a few examples of how you can leverage Boolean logic in your searches:
- Quoted searches: To search for an exact phrase, enclose the phrase in quotation marks (e.g., “product manager”). Note that Gem only supports standard straight quotation marks.
- NOT searches: Use the word NOT (in capital letters) immediately before a search term to exclude it from your results. For example, “programmer NOT manager.”
- OR searches: To find results that include one or more terms, type OR (in capital letters) between them. For example, “sales OR marketing OR advertising.”
- AND searches: To find results that must include all terms, type AND (in capital letters) between each term. This will typically narrow down your results. For example, “accountant AND finance AND CPA.”
- Parenthetical searches: For more complex searches, combine terms using parentheses. For example, to find people with “VP” in their profiles but exclude “assistant to VP” or “SVP,” type: VP NOT (assistant OR SVP).
