Filling out scorecards in Gem ATS ensures a structured evaluation process and helps hiring teams make informed decisions. As an interviewer, you can access and complete scorecards for your assigned interviews directly within the platform.
How to complete a scorecard in Gem ATS
At the time of a scheduled interview, as the interviewer you will be automatically assigned a scorecard - you can find this either in the application detail OR from My Interviews. You will be sent an email reminder one hour after the scheduled interview with a link to fill out the scorecard as well.
- Navigate to the “My Interviews” tab. This page displays upcoming interviews, past interviews, and any scorecards that still need to be completed.
- Find the interview requiring a scorecard. If you have any unfinished scorecards, they’ll be flagged in this view. You’ll see a red “Overdue” alert indicating that the scorecard has passed the SLA (Service Level Agreement) deadline.
-
Click “Fill Out scorecard.” Once inside the scorecard, you’ll see:
- A reminder about the interview prep, including key details about the role and candidate
- The candidate’s scorecard fields for you to complete
- A notes section where you can add additional feedback
- Submit the scorecard. Once submitted, the scorecard moves to “Past Interviews.” You can still access interview prep materials for upcoming interviews and review past scorecards if needed.
By staying up-to-date with scorecard submissions, you help ensure a fair, consistent, and efficient hiring process. If you have not completed your scorecard an hour after the interview, Gem will send you an email reminder as well.
Note: Hiring Managers and Coordinators can submit scorecards on behalf of other users if required.
A note on viewing scorecards
Please note that only the Hiring Managers and Recruiters for a specific job will be able to view completed scorecards for candidates hired for that job.
Scorecard summaries
If a candidate has at least one completed scorecard, you can generate an AI-powered summary which aggregates all of the available scorecards and presents an overview of the candidate’s performance (including citations where appropriate, with links to the particular user’s feedback).
This allows you to get a sense of how a candidate has performed at a glance, which is particularly useful as a way of guiding discussions during debrief sessions. For example, if a summary highlights a particular set of strengths or areas of concern, you can then go through individual scorecards looking at those aspects in more detail - but the summary is a great way of quickly spotting the relevant topics of conversation.
To generate an AI scorecard, look for the Generate summary button against a particular role in the Scorecards section of a candidate’s record.
This will generate a new section labelled as Scorecard summary by Gem AI, marked with when it was generated and broken down into Strengths, Areas of concern and Contradictions.
Note: In order to generate a scorecard summary you must be either a team admin or have been assigned a role that includes the 'View scorecards' permission enabling you to view all scorecards for that job.
You can also update summaries if additional scorecards are subsequently added - simply click the Regenerate summary button.
