By default, all Jobs in the Gem ATS are set to ‘Standard’ visibility, meaning that they are visible to all users. There may be situations, however, where you don’t want a Job to be public, for example if you have sensitive roles where only select members of your hiring team should be aware of an open Job. In such a case you can set a Job’s visibility to Confidential, meaning it will only be visible to admins and members of the hiring team.
In this article we will explain how to set Jobs to Confidential, and what the implications are of doing so.
Requirements: The Gem ATS feature must be enabled. If you do not have this feature but are interested in adding it, please contact your Gem Customer Success Manager.
Eligibility: Available to all Gem ATS teams.
Making a Job confidential
You can make a Job confidential during the process of creating it, as part of the standard Job creation flow. Alternatively, you can edit an existing job and change its Visibility setting to confidential as long as it doesn’t have any published job posts.
To set a Job to Confidential, look for the Visibility field under Job settings > Job details:
This will default to Standard - set it to Confidential then save the Job.
NOTE: You can’t change the Visibility setting on Jobs which do have published job posts - if you try, you will see that the Confidential option is greyed out, with a note saying “This job cannot be made confidential because it has published job posts.”
What happens when a Job is set to Confidential?
Once a Job has been set to Confidential, it will only be visible to admins and members of the hiring team. For these users, in the Jobs list it will be clearly marked as Confidential.
To other users, the following will apply:
- The Job will not appear in the Jobs list.
- Following a direct link to the job will result in an error or a redirect.
- The Job will not show up in any dropdown selectors.
- In Talent Compass reports, the Job title will be replaced by "(Job hidden due to ATS permissions)" or "(Job not found)" depending on the specific report, and users will not be able to see applicants in the detail view.
