By utilizing the import and export features of Gem projects, bulk importing people from Entelo into Gem and then into Greenhouse can be made simpler.
Create a new Project in Gem
Create a new Gem project from either the Projects or Overview page.
Import the Entelo CSV into the Project
After creating and naming the new project, click on the 'Options' button in the top-right of the project page and select 'Upload CSV' and select the CSV file that you obtained from Entelo. In the resulting uploader window, use the provided drop-down menu for each column from the CSV map them to Gem's data fields (ex. "First Name" from your Entelo CSV would correspond with the "First Name" field in Gem).
- The importer will detect and auto-map some columns for you based on their names, but be sure to do a final pass to ensure all data is correctly labeled.
- Clean data in, clean data out: Gem does not modify or correct your data on import, so this process relies heavily on the information in your CSV file being accurate. For example, extra characters or bad formatting will reflect in the final result within your candidate profiles after import.
- Columns that do not match or contain exactly the same type of data as Gem's fields should not be mapped and the drop-down can be left blank for these kinds of fields so they can be skipped during the import process. For example, if the CSV does not contain a column for nicknames, do not use the "Nickname" field in Gem as a substitute during mapping, otherwise you'll see the wrong information in Gem for the candidates after the import completes.
- Everything that you map will be uploaded to Gem.
Once you've double-checked your column mappings and are happy with them, click 'Upload' to import the people into the project.
Download the Gem project as a CSV
Once the upload has completed and people have been added to the project, click on the 'Share' button, and select the 'Download CSV' option. This will initiate a download of the project and the file will be saved to your computer.
Prepare the Gem project CSV for Greenhouse import
Find the Gem project CSV file that you just saved on your computer and open it in your preferred spreadsheet application. Depending on the application, you may be asked to select some options before being able to edit the spreadsheet. (Generally, the default options can be used.)
With the spreadsheet open, you will need to add three columns: Job, Source, and Who Gets Credit. For each column, enter the appropriate values (eg: 'Engineering Manager', 'Entelo')
Upload the Gem project CSV to Greenhouse
With the spreadsheet prepared and saved, go to the Bulk Import page in Greenhouse. It can be accessed by clicking the 'gear' icon at the top of most pages on Greenhouse and then clicking 'Bulk Import' in the left column.
On the Bulk Import page, click 'Upload Prospects Spreadsheet' and select the spreadsheet file. Follow the remaining steps in the Greenhouse data importer to finish uploading the people to Greenhouse. Be careful! Uploading the spreadsheet will create duplicate Greenhouse profiles if the people you're uploading already exist in your Greenhouse instance. If Greenhouse ends up finding duplicates, you can click into each prospect that you've uploaded in Greenhouse and merge their profiles from there.
