This document is intended to help guide Calendly/Gem administrators through Calendly’s deprecation of their V1 API key. If you received our notification email about this and do not have sufficient access to make the required changes, this can be forwarded to your IT department for context and information.
Background on Gem and the Calendly-Gem integration:

Gem is a platform that allows users to set up automated email outreach campaigns to candidates, which can consist of multiple messages sent out over the course of X amount of time. These campaigns are called “sequences”.

In the body of sequence messages that are sent to candidates, a Calendly link may be used so the candidate can book time with a team member.

If the candidate replies to the sequence email thread, it stops and no further automated follow-up messages are sent to them.

If the candidate only books time and does not reply to the sequence email thread, the Calendly-Gem integration detects the booking and automatically stops the sequence for the user so that no further follow-ups are sent to them.
What’s changing?
In Q3 2022, Calendly will be deprecating their API key (V1). This impacts Gem users who have set up the Calendly-Gem integration because the older API key will no longer be supported.
To accommodate for this and migrate to Calendly’s new API, Gem will be implementing a team-wide Calendly integration instead, where only a single person who is both a Gem and Calendly admin will need to set up the integration for the entire team. Previously, every Gem user would have needed to set the Calendly-Gem integration up on their own, individually.
Please note, our new changes will not cover personal Calendly accounts at launch, only company-authorized Calendly accounts. For example, if a team member created their Calendly account using a @gmail.com address, this does not apply to them and they will need to remember to manually check (and stop, if necessary) sequences once time is booked with them. If team members are using Calendly accounts under @yourcompany.com, you can follow the steps below. Over the next few months and before Calendly removes their API key, we will be working to accommodate personal Calendly accounts, as well.

These steps must be performed by July 31, 2022 to prevent disruption of your team’s sequences that use the Gem-Calendly integration.
If you are both a Calendly and Gem Admin, click the link below to navigate to your Gem Team Settings dashboard. Underneath the “Calendly Integration section, click “Grant Access” and log into your Calendly administrator account to complete the setup process:
That’s it! No additional actions are needed on your part after this is complete. The Calendly-Gem integration is now configured for all Gem users on your team. They will be able to add Calendly links to their sequence messages and Gem will be able to automatically detect when a candidate books time, stopping the sequence for the user.
